Document Management

Manage business documents throughout a full lifecycle process in compliance with all relevant regulatory requirements.

Managing information is critical to the success and security of your business. The need to effectively manage business documents reaches across your organisation. Business documents, whether they originate in electronic or paper form, define your business and the way that it operates.
Knowing where documents are, controlling access to them, finding them quickly, linking them to business processes, and archiving or destroying them at the right time in their lifecycle are fundamental requirements. The Document Management component of the Open Text Enterprise Content Management (ECM) Suite meets these requirements for managing business documents in any electronic format.

Effective management of business documents lies at the heart of an effective enterprise-wide ECM strategy, enabling you to:

Improve personal productivity by making it easier to find information
Get more value from existing information assets by connecting them with business processes
Improve decision making by putting corporate history at the fingertips of today's decision makers
Reduce risk through the effective governance of vital corporate information

Collaboration & Community Management

Provide virtual environments for teams to share knowledge and work together in the context of business processes.

Enterprise Content Management (ECM) is about understanding the relationship between People, Processes, and Content in an organisation. The Collaboration & Community Management component of the Open Text ECM Suite lies at the heart of teams and the way they work – providing virtual environments in which employees and even external business partners share their knowledge on projects and work together in the context of business processes.

With Collaboration & Community Management, all of the information, ideas, and data created as a by-product of collaborative processes is securely captured in the Open Text ECM Suite repository and made available to others via Document Management services.

Collaboration and document management are a powerful combination that helps create, control, store, revise and distribute electronic information, to yield greater efficiencies across global businesses.

Web Content Management

Web sites are an integral part of any organisation’s operations. No longer simply relegated to the role of electronic billboards, Web sites today actively promote companies and products, deliver services and information, manage transactions and facilitate communication. To keep information current, changes must occur quickly—daily, hourly, even minute-by-minute.

This need for rapid turn-around, the “ripple effect” that changes can have throughout a site, combined with the sheer size of today’s dynamic business sites, make it impossible for content revisions to flow through one or two people. Complexity and speed have created the demand for automated ways to effectively manage Web content.

When new information does not get posted quickly, what does it cost your organisation? If you are a publicly traded company, incorrect financial postings can have serious consequences. Providing only accurate, timely product information can prevent misunderstandings that lead to customer dissatisfaction. Giving distributors and suppliers incorrect, out-of-date or partial information can hurt your bottom line.

The World Wide Web, intranets and extranets have developed from a collection of HTML pages into a central tool for the distribution and shared use of information. While the rapid distribution of information yields distinct competitive advantages, it simultaneously increases the risks associated with releasing this information—including the potential to misplace critical information or publish inaccurate information. Web content management, or WCM, provides the basis for the management, structuring and linking of corporate information for publication across various Web media or Web sites.

Records Management

Reduce risk and enhance your corporate accountability.

In every industry and country, companies must operate within the context of countless government regulations, industry standards, and internal company procedures. Virtually all of these regulations, standards, and rules involves some form of documentation. In some cases, the rules and regulations govern the management of the documents themselves, such as where they are stored and in what form, how long they must be kept, when they can be destroyed, and so on.

Every company generates content of various kinds, including email, paper, electronic documents (policies, contracts, reports, ...), digital assets (images, audio, video, presentations ...), and more. Some of this content is unimportant (such as an email between colleagues asking what time the meeting is), but much of it is vital to the operation of the business (such as contracts, audit reports, and employee information).

To support compliance and minimize risk, it is important to control the complete lifecycle of vital records, while at the same time reducing content management costs by deleting unimportant or out-of-date content.

The Records Management component of the Open Text ECM Suite enables control of the complete lifecycle of content objects by associating sophisticated retention and disposition rules with each content asset. These rules control if and when content can or must be deleted or archived on less costly storage media.

The Records Management component provides the ability to apply records management controls to different forms of enterprise content, including :

  Paper and electronic business documents
  Email
Content managed in Microsoft Office SharePoint Server
  Content managed in SAP applications
  Content stored on file systems
  Contracts
  Regulated documents
  Transactional content

Knowledge Management

Leverage your organisation's intellectual capital.

Global organisations face the same information management challenges:

Are you unable to leverage your intellectual capital?
Is your corporate knowledge buried within numerous operating systems, in multiple repositories, across     networks and different locations?
Are your costs for running divergent systems or supporting multiple repositories escalating?
Are new or existing regulations increasing your workload, negatively impacting customer service, and preventing     you from seizing new opportunities?
Do you lose knowledge every time you experience employee turnover?
Are your senior executives making uninformed business decisions, based on inaccurate or out-of-date     information?
Is a lack of standards and lessons learned decreasing the quality of your work and increasing the risk of     repeated   errors?

Business Process Management

Automate your business processes for improved efficiencies and productivity.

Business processes involve people and content and often span multiple enterprise applications. Only when these work together in an integrated environment can you maximize productivity and value chains.

By optimizing business processes your company can also more readily comply with regulations, and quickly respond to changing market dynamics and customer demands. In turn, more efficient processes increase productivity and deliver a competitive edge.

With the Business Process Management component of the Open Text ECM Suite, you can create, deploy, modify and manage business process of any complexity, integrating people and content from multiple applications for true, end-to-end process management. The ease with which this can be accomplished empowers business process owners to build and manage workflows with little or no dependence on valuable IT resources.
